Deck or shore — and the headcount decides, not the budget
A guide to staging a corporate evening in Ha Long, covering both the vessel and the shore options. Written for someone deciding where the evening should happen before they have chosen a supplier.
The decision tree
Three questions, in this order. Budget is not one of them, because at every branch the cost difference is smaller than the difference in whether the evening works.
- How many guests? Up to about 70, a deck gala is available. Above that it is not, at any price, because a sun deck is a fixed dimension and a second vessel's deck is across open water.
- What month? December to February, a deck evening is realistically unavailable — 12 to 18°C with damp sea air. Plan indoors and treat a clear night as a bonus.
- Does the ceremony need everyone to see one stage? If yes, split dinners and rafted decks are both out. Shore venue.
| Guests | Month | Recommended |
|---|---|---|
| 20 – 70 | Apr – Nov | Deck gala. This is the format at its best. |
| 20 – 70 | Dec – Mar | Ship's dining room, or a shore venue if the evening carries the programme. |
| 71 – 120 | Any | Shore venue in Ha Long city or the Tuan Chau area. |
| 120 + | Any | Shore venue, planned at quote stage, with the sailing as the daytime programme. |
What a deck gala actually involves
Different discipline from a ballroom. Everything rigs to fixed points, everything is wind-rated, everything draws from a generator.
- Stage: a low riser on the forward deck, roughly four metres by two. Not a ballroom stage.
- Backdrop: fabric or rigid to about five metres, wind-rated. LED walls are not viable.
- Sound: a PA sized for the deck. Amplified music ends around 21:45 under the anchorage curfew.
- Lighting: basic wash plus a few fixtures within generator headroom.
- Wet-weather fallback: the dining room and lounge. Smaller, no stage, and it is the only option available at anchor.
From about 22:00 the anchorages enforce a noise limit, because other vessels moored nearby carry sleeping passengers. Chartering the whole ship does not exempt you. Build the loud part of the evening for 19:00 to 21:45 and the quiet part after, and tell your production company before they design a show that ends at midnight.
Sunset timing, which governs the run of show
| Month | Approx. sunset | Implication |
|---|---|---|
| April – May | 18:15 – 18:30 | Comfortable. Reception from 17:45, seated at 18:45, ceremony after dark. |
| June – August | 18:20 – 18:35 | Latest of the year, but hot until late. Reception starts later. |
| September – October | 17:40 – 18:10 | Ideal. Seated dinner starts in the light and the ceremony lands at dusk. |
| November | 17:20 – 17:35 | Early. The sunset moment happens during the reception, not the dinner. Adjust the run of show. |
| December – February | 17:15 – 17:35 | Early and often invisible behind mist. Indoors in any case. |
The most common run-of-show error we see is scheduling the CEO's address for 19:30 in November because that is when it was scheduled last time in September. The light is ninety minutes different and the moment is gone.
Shore venues in Ha Long
For anything above seventy guests the evening happens ashore, so it is worth knowing what the area holds.
- Ha Long city and the Bai Chay area carry hotel ballrooms in the 150 to 400 range, with the usual function infrastructure.
- The Tuan Chau area has larger event capacity and is closer to the port, which shortens the tender and coach legs.
- Outdoor shore venues exist and carry the same weather exposure as a deck, with the advantage that a contracted indoor fallback is genuinely available at the same site.
- For a fleet programme, the shore venue is the scarcer resource — vessels are easier to secure than a ballroom on the same date. That is why large-group lead times run to 120 days.
Questions we are asked most often
Can we raft two ships together and use both decks?
The hulls can be moored side by side with a gangway in calm conditions with harbourmaster approval, and guests move freely. But it is two decks with a gap and a step, not one room. Fine for a dinner, wrong for a ceremony where everyone should see the stage.
Are fireworks possible?
No. Pyrotechnics are not permitted at the anchorages. Cold sparklers on deck within the crew's fire plan, yes.
How late can we run ashore?
A shore venue runs to its own curfew, typically much later than the anchorage. If the evening needs to run past midnight, that alone is a reason to go ashore.
What does a deck gala cost on top of the programme rate?
Production is quoted separately because it varies enormously with what you want. Stage, sound, lighting, MC and a band is a different order of cost from a PA and a screen. Indicative programme rates on the rates page exclude it, deliberately, so the comparison stays honest.
